How do I use the answerphone facility on my VOIP phone?


Staff wanting an answer phone facility on their phone will need to use Microsoft Unified Messaging

However if a number is shared by more than one person and so there is not one account that the voicemail can be associated with (like Advisory for example) Hefin has another voicemail facility people can use.

This voicemail service means you can access your messages from any phone on or off campus.


Accessing your mailbox

You can log in to your voicemail mailbox using the following numbers:

  • 4444 from your own phone

  • 1881 from another internal phone

  • 01970 62 (1881) from an external phone

When accessing your voicemail from another phone you will be asked which mailbox you wish to check. Type in the extension number of the phone you are checking.

You will then be asked for your password. Once you have entered this you will be logged in to your mailbox.

The menu structure

After logging in you will be given the top level menu:

  • 1 New Messages (If you have no new messages 1 will take you to old messages)

  • 2  Change Folder

  • 3 Advanced options

  • 0 Mailbox Options

  • While Listening to new or Messages (1 or 2)

    • 3 Advanced options

    • 4 Play previous message

    • 5 Repeat current message

    • 6 Play next message

    • 7 Delete current message

    • 8 Forward message to another mailbox

    • 9 Save message in a folder

    • * Help; during message playback: Rewind

    • # Exit; during message playback: Fastforward

  • While in the mailbox options menu (0)

    • 1 Record your Unavailable Message

    • 2 Record your Busy Message

    • 3 Record your Name

    • 4 Record your Temporary Message

    • 5 Change your Password

    • * Return to the Main Menu

    • # Help

Changing your greeting

You can record three different greetings. Your unavailable message is played when you do not answer or you are not logged into your phone. To set the messages:

  • Log in to your mailbox

    • Press 0 for Mailbox Options

    • Press 1 to record your unavailable message

    • Press 2 to record your busy message which should play when the phone is engaged - doesn't work for Advisory

    • Press 4 to record your temporary message - temporarily replaces the normal greeting.  When the temporary message is removed, the original greeting will be used again. Use this for changes from normal service so we don't need keep re-recording the unavailable message.

To remove the temporary message:

  • Log in to your mailbox

    • Press 0 for Mailbox Options

    • Press 4 to record your temporary message

    • Press 2 to remove your temporary message

Listening to Messages

On the main menu after logging into your inbox you will be informed of how many messages you have:

  • Press 1 for new messages (if you have no new messages you need to press 1 for old messages)

  • Messages will be play one at a time in the order they were recieved and you must click 7 to listen to the next one

  • Press ng> 4 to go back one message, 5 to replay the current message and 6 to skip to the next message

Forwarding Messages

  • Press 8 while listening to the message you want to forward.

  • Enter the number to forward the message to

Press 7 while listening to the message you want to delete
